Recruiting is a key discipline within the field of Human Resources (HR). The term "recruiting" is derived from the Latin word recrescere, meaning "to grow again." Historically, it was used in a military context to refer to the enlistment of capable soldiers.

Today, recruiting refers to the process of searching for and selecting candidates who are best suited for a given position within an organization. Recruitment requires a targeted, structured approach—commonly referred to as the recruitment process. This process comprises various actions a company must take to identify and hire qualified personnel.

The Recruitment Process in 10 Steps

The classic recruitment process is typically divided into the following ten steps:

  1. Requirements Analysis: In collaboration with the relevant department, the recruiting team determines the personnel requirements.
  2. Candidate Profile: Based on the needs analysis, a profile of the ideal candidate is developed.
  3. Job Posting: The person responsible for recruiting prepares a compelling job advertisement.
  4. Publication: The job opening is communicated across all suitable recruitment channels to quickly achieve high visibility within the target group. This includes channels used in e-recruiting.
  5. Applicant Management: Applications must be reviewed and assessed. A central question is: How do companies handle incoming applications? Data protection regulations must also be observed. A professional applicant tracking system ensures that all data is stored securely and transparently, and deleted in a timely manner.
  6. Candidate Selection: How do recruiters select the most suitable application? Promising candidates are filtered from the applicant pool based on predefined criteria. Intelligent HR software can significantly simplify this step.
  7. Candidate Interviews: Promising applicants are invited to interviews. Often, several rounds are conducted, which may include tests or sample work assignments.
  8. Talent Pool: Impressive candidates are added to a talentpool, allowing them to be contacted directly when future positions become available. Applicant tracking systems can automatically suggest suitable candidates from the talent pool when needed.
  9. Contract: Terms are negotiated with the selected candidate, and the employment contract is signed.
  10. Onboarding: Once the contract is finalized, the onboarding process begins. The new hire provides all necessary documentation (e.g. social security number, family record book, etc.).
